Mission:

We are seeking a highly organized and proactive Personal Assistant to support our COO in managing a demanding professional schedule. The ideal candidate will coordinate the COO's appointments, handle travel arrangements, assist with event planning, and support administrative tasks to ensure seamless daily operations. This role is ideal for someone with experience in a similar position, excellent organizational skills, and a high level of discretion.

Main Responsibilities:

  • Event planning & coordination: Assist in organizing business events, meetings, and team gatherings, handling all logistical and administrative aspects to ensure seamless execution;
  • Administrative support: Manage tasks such as document preparation, records maintenance, and handling correspondence efficiently;
  • Office management: Oversee the organization of the office space, maintain supplies, and liaise with vendors to foster a well-functioning work environment;
  • Communication management: Screen and manage emails and phone calls, ensuring prompt and prioritized responses to support Senior Management;
  • Project assistance: Coordinate project activities, track timelines, and support team members by providing relevant information and follow-ups;
  • Expense & Budget Management: Monitor and track office-related expenses, prepare detailed reports, and manage payments for office supplies, vendor services, and business activities, ensuring adherence to budgetary guidelines;
  • Research Support: Conduct thorough research on various topics or business initiatives as needed by Senior Management or the COO, providing clear summaries and actionable insights to inform decision-making;
  • Personal support to the COO: Provide personal assistance to the COO, ensuring both professional and personal schedules and needs are efficiently managed.


Requirements:

  • Proven experience in a similar role supporting senior executives or individuals with complex schedules and responsibilities;
  • Exceptional organizational skills and attention to detail, with the ability to handle multiple tasks, deadlines, and shifting priorities simultaneously;
  • Strong written and verbal communication skills, with a proactive approach to anticipating needs and addressing challenges independently;
  • High level of discretion and professionalism in handling sensitive information, maintaining confidentiality at all times;
  • Adaptability and resilience under pressure, with the ability to navigate evolving priorities, last-minute changes, and urgent tasks.
