About The Role: Administrative & Operations Associate purpose is to provide high-level administrative, scheduling, and project support to the HP Manager, enabling focused leadership, effective time management, timely reporting, and efficient execution of priorities across time zones and functions. The role combines calendar/meeting management, reporting support, prioritization assistance, and essential administrative tasks, with a proactive, confidential, and tech-savvy approach. Administrative & Operations Associate works closely with executive leadership team, assistants, operations, finance, IT, and project teams across regions.
Responsibilities:
- Own and manage HP Manager’s calendar across multiple time zones.
- Coordinate internal and external meetings, including video conferences, stipulating agendas, materials, and participants.
- Prioritize and resolve scheduling conflicts; book travel as needed; optimize time allocation for focus blocks, meetings, and deep work.
- Prepare pre-briefs and post-meeting notes; track action items and follow-ups.
- Act as point of contact, handling calls & emails from clients regarding, contract requests, cancellations, or last-minute replacements (short-term positions)
- Prepare meeting agendas, presentations, and briefing materials.
- Manage incoming communications (email/briefings) with a high bar for accuracy and confidentiality; respond or escalate as appropriate
- Facilitate cross-functional coordination by routing information and decisions to stakeholders.
- Compile, format, and distribute concise reports, dashboards, and status updates for the HP Manager and key stakeholders.
- Ensure information is up-to-date, organized, and accessible (document version control, filing systems, cloud storage).
- Assist in identifying and tracking top priorities; create and maintain action trackers and project plans.
- Support small projects and initiatives with scheduling, stakeholder coordination, and progress updates.
Requirements:
- Excellent English skills, both verbal and written, min B2, polished professional demeanour.
- Demonstrated ability to manage complex calendars, coordinate meetings across time zones, and handle confidential information.
- Highly organized with exceptional attention to detail; ability to multitask and prioritize in a fast-paced environment.
- Proactive, problem-solving mindset; resourceful and service-oriented with strong follow-through.
- Ability to multitask, plan and prioritize workload to ensure a deadline are met.
- Ability to quickly build relationships with partners.
- Accuracy and attention to detail.
- Ability to work in a team.
- Excellent interpersonal, organizational and communication skills, positive attitude, and high level of initiative.
- Flexible, self-motivated with the ability to work under pressure in international & culturally diverse organization.
- Strong planning skills with the ability to manage multiple priorities in dynamic environment.
- Excellent Computer literacy (Word, Excel, PowerPoint, Outlook)
