Currently we are looking for a Travel & Design Coordinator to join the dynamic team. As one, you will be responsible for planning, booking, and managing all company-related travel, both locally and internationally, in a cost-effective, efficient, and employee-friendly manner. The role ensures a smooth travel experience while maintaining compliance with company policies, budgets, and internal procedures. In addition, this position provides high-quality coordination and administrative support to the Head of Design and a design team of nine members. Responsibilities include supporting day-to-day operations, scheduling, communication, and preparation of monthly reports to ensure the team operates smoothly and efficiently.

Responsibilities:

  • Plan, coordinate, and book domestic and international travel for employees and leadership
  • Arrange flights, accommodations, ground transportation, and related travel services across multiple destinations and time zones.
  • Manage changes, cancellations, and last-minute travel requests efficiently
  • Monitor travel budgets and identify cost-saving opportunities
  • Ensure compliance with company travel policies and approval workflows.
  • Liaise with travel providers, airlines, hotels and taxi services as needed.
  • Track travel schedules and maintain accurate records of bookings, confirmations and costs.
  • Act as the main point of contact for the design team regarding new tasks and negotiate deadlines;
  • Overseeing the incoming tasks in Teamwork and mails in the Design mailbox;
  • Delegating tasks to appropriate team members based on the task specification, deadline, and designer’s workload
  • Overseeing and maintaining design tasks lists and team members' schedules up to date ;
  • Create new tasks in Teamwork when this is necessary;
  • Prepare time and task reports at the end of each month;
  • Quarterly sending feedback to customers to gauge satisfaction and success and prepare a report with the collected data;


Requirements:

  • At least 1 year of proven experience in travel coordination, administration, or operations
  • Strong organizational skills and attention to detail
  • Experience using travel booking systems and online platforms
  • Excellent communication and interpersonal skills
  • Ability to manage multiple requests and work under time pressure
  • Service-oriented mindset with strong problem-solving abilities
  • Able to work independently and proactively anticipate needs.
