We are seeking a highly discreet, organized, and proactive Personal Assistant to the COO to manage a wide range of personal and private business matters.
This role is key in helping the COO manage day-to-day personal responsibilities with efficiency and confidentiality, ensuring seamless support across both professional and private spheres.

We are seeking a highly discreet, organized, and proactive Personal Assistant to the COO to manage a wide range of personal and private business matters.
This role is key in helping the COO manage day-to-day personal responsibilities with efficiency and confidentiality, ensuring seamless support across both professional and private spheres.
Key Responsibilities:
- Manage the COO’s personal calendar, including scheduling appointments, coordinating family obligations, and organizing private engagements;
- Oversee all personal correspondence and communications on behalf of the COO and family, ensuring timely and appropriate responses;
- Arrange and coordinate domestic and international travel for personal and family purposes, including accommodation, transport, and itinerary planning;
- Schedule and manage medical appointments, personal commitments, and other time-sensitive matters with precision and discretion;
- Handle personal purchases, payments, and reimbursements on behalf of the COO, maintaining accurate records and documentation;
- Prepare brief reports or summaries to support the effective management of personal and family matters, as needed;
- Maintain strict confidentiality and exercise sound judgment in managing sensitive personal information;
- Anticipate needs and provide proactive support to ensure the COO and family’s personal affairs are organized and well-managed;
- Attend to ad hoc personal requests and errands with professionalism, discretion, and attention to detail.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field; MBA or advanced degree is a plus;
- 2+ years of experience supporting executive leadership, ideally within an operations-focused environment;
- Proven track record of handling confidential information with discretion and professionalism;
- Demonstrated reliability, trustworthiness, and a proactive approach to supporting organizational goals;
- Ability to manage multiple priorities in a fast-paced environment, with strong attention to detail and follow-through;
- Excellent written and verbal communication skills, with the ability to produce high-quality reports and executive-level presentations;
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with business analysis tools is a plus;
