What's this role about?
We're seeking a highly organized and detail-oriented Office Administrator to join our vibrant Graphic Design and Marketing Department in Sofia, Bulgaria. This full-time, in-office role is essential for the smooth operation of our creative department. You'll be the backbone of the team, managing documents, contacts, and ensuring everything functions efficiently.
You'll handle a variety of tasks, including:
Coordinating Operations: You'll oversee daily office activities, ensuring everything flows seamlessly and adheres to company policies. Supporting the Team: Manage schedules, travel arrangements, and appointments for upper management, keeping them focused on their priorities. Communication Champion: You'll be the master of clear communication, handling phone calls, emails, letters, and packages, fostering smooth communication within our diverse team and with international clients. Financial Support: Assist with budgeting and bookkeeping procedures, contributing to our financial well-being. Data Management: Create and maintain accurate records and databases for personnel, finances, and other data. Maintaining Supplies: Monitor office supplies and place orders when necessary, ensuring we have the resources we need. Event Planning Support: You'll play a vital role in coordinating trade shows and exhibitions, including logistics and material preparation. Reporting and Presentations: Prepare timely reports and presentations/proposals as assigned, keeping everyone informed and on track. Providing Support: Assist colleagues whenever needed, ensuring materials are accessible and secure – you'll be the go-to person for all administrative tasks. Managing and Ordering Advertising Materials: Take charge of managing and ordering advertising materials as per our company's needs, ensuring our marketing efforts are well-supported with the necessary materials.
What skills and experience do you need?
Experience in administrative support is a plus, especially within a creative or marketing environment. However, strong skills and a willingness to learn can compensate. Communication and collaboration are key: You possess excellent communication and interpersonal skills, with strong organizational and leadership abilities. Office Savvy: Familiarity with office management procedures and basic accounting principles is a plus. Tech-proficient: You have excellent knowledge of MS Office and are proficient in English. Education matters (but experience is king!): Qualifications in secretarial studies or a BSc/BA in office administration or a relevant field are preferred, but strong experience can compensate.

Reception Expertise: Can manage the reception area and ensure a warm and welcoming experience for office guests. Maintaining Order: Can oversee the maintenance of office areas, equipment, and facilities, keeping our workspace organized and functional.
