Equipment Supply Chain Specialists manage the day-to-day operations related to on-time equipment deliveries from the central European warehouse to the county warehouse and then final delivery to the end customer. They are responsible of keeping a clean order flow for printer devices as well as third party software, hardware, and licensing. Among their responsibilities we can also include delivering and analyzing custom reports and system housekeeping.

Responsibilities:

  • Handle questions or queries from (internal) customers within agreed response time, to ensure KPI’s are
met, and SLA (Service Level Agreements) are achieved.
  • Actively participate with the Customer Service Team to commit to all the above and ensure
expectations/ KPI (Key Performance Indicators) are met.
  • Ensure that the delivery and/or collection of devices are well coordinated with customers and LSPs
(Logistics Service Providers). Provide alternate solutions when needed.
  • Maintain a pro-active approach to support the (internal) customers and meet their requirements with
added value responses.
  • Back-Office activities; clean-up work queues, monitor discrepancies, follow up with LSP (Logistic Service
Provider).
  • Raise system tickets when issue(s) cannot be solved.
Respond to internal customers’ queries & questions and provide answer/solution by email or phone within timeline.
  • Act to ensure KPI’s are met for all activities handled by the team.
  • Escalate on time to Team Leader, Team Manager, CLM (County Logistics Manager), LSP (Logistics
Service Provider) when solutions are not available. This is applicable for all urgent requests via phone or e-mails.
  • Raise complaints towards LSP (Logistics Service Provider) /carriers.
Communicate supply lead-times and constraints.
  • Advise alternatives solutions to operations teams (sales, engineers…etc.)
  • Liaise with Order entry & Order to cash (OTC) teams to create purchase orders for device delivery and
old/defective pick-up devices (re-sites, technical exchange, dead on arrival) and replace them with new ones where needed.
  • Monitor part allocation data to coordinate shipping and receiving dates, ensure on-time allocations of
orders and make sure backlog is kept to a minimum for better customer satisfaction.
  • Monitor local stock and liaise order creation to ensure total country inventory is kept to a minimum.
  • On-time order creation of SO (Sales Order) into PO (Purchase Order) to enable / arrange on-time
deliveries and installs Interface / Liaise / Support with various service desks teams - Operations, Accounting department, Order to Cash, Logistic Providers, 3rd party service providers to answer queries within timeline.
  • Monitoring local inventory and follow-up.
  • Monitor XSAP/ ESAP (Enterprise Resource Planning System)/Legacy system working queues to clear
stuck orders, system maintenance.
  • Provide accurate, timely, and professional reports to senior management for historical analysis, account
status, and forecasting purposes.
  • Provide best effort and cooperative spirit on special projects outside regular account responsibilities
when/if requested.
  • Participate in business meetings and general inputs in day-to-day improvements.


Requirements:

  • Strong English and German languages required.
  • Bachelor's degree/High school diploma plus relevant work (Customer Service / Logistics background).
  • Experience with ERP systems.
  • See connections and determine impact in the different steps in a Supply Chain, and notify
Customers/Departments. Information Systems and MS Office Affinity (ERP knowledge is an advantage) Pro-active Approach.
  • Ability to work under pressure.
  • Experienced in Customer Service Environment / Customer Orientated.
  • Team Player, networker.
