Job Summary: In this role, you'll be the person that keeps running smoothly the Business operations humming along seamlessly. From managing BU’s necessities and equipment to handling financial tasks and budget tracking, you'll be at the heart of our day-to-day operations. But it doesn't stop there – you'll also have the chance to flex your organizational muscles by coordinating company events, supporting recruitment efforts, and serving as a central point of contact for our team.
Responsibilities: Manage Business unit’s necessities:
- Replenish consumables and purchase new hardware or schedule preventive maintenance for personal and team needed IT equipment.
- Ensure optimal functionality of any equipment used by the BU and troubleshoot any issues that arise.
- Follow office workflow procedures to ensure maximum efficiency.
- Support the creation and handling of Purchase Order requests and invoices.
- Assist in tracking budgets related to BU’s operations.
- Maintain accurate records of financial transactions and expenses.
- Act as a central point of contact for internal and external inquiries.
- Direct communications to respective division functions and leaders as needed.
- Ensure efficient routing of inquiries to appropriate channels for timely resolution.
- Assist in vendor relationship management.
- Manage broad mailing groups and distribution lists.
- Ensure accurate and efficient distribution of information to relevant stakeholders.
- Maintain confidentiality and integrity of sensitive information.
- Take the lead in organizing Business Unit related events such as leadership visits, offsites, workshops, and dinners.
- Plan and execute events from start to finish, ensuring seamless coordination and a positive experience for all participants.
- Coordinate with vendors, caterers, and other external partners as necessary.
- Participate in recruitment efforts by posting job openings on relevant websites.
- Coordinate the organization of career and networking events.
- Foster relationships with universities and educational institutions to attract top talent.
- Bachelor’s degree or currently pursuing a Bachelor's degree in Business Administration, Logistics, Operations Management, or a related field, with expected graduation within the next 1 year.
- Experience in office administration, operations coordination, IT customer support or similar roles will be considered an advantage.
- Good command of MS Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent strategic planning and problem-solving skills.
- Exceptional communication skills, both written and verbal.
- Ability to work independently with minimal supervision and as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent verbal and written English skills.
